1) Please provide the names of all the EDRMS and Case Management Systems and other types of systems used by your Local and for what purpose / service area.

2) Please provide email system used and name of archive system that retains emails received and the retention period. Do you have a cloud system, if so please may you provide details.

3) Please provide the names of all software programs (i.e. Kofax, power bi etc) used by your Local Authority and for what purpose / service area.

4) Please provide all internal foi guidance, training docs and templates the council relies upon to assist employees in the delivery of handling and responding freedom of information requests

5) Please provide all internal SAR guidance, training resources and templates the council relies upon to assist employees in the delivery of handling and responding to Subject Access Request

Your request and our response

1) Please provide the names of all the EDRMS and Case Management Systems and other types of systems used by your Local and for what purpose / service area.

Our current corporate EDRMS (Electronic Document & Records Management System) is Objective ECM.  However, we are in the processing of decommissioning this system and moving to MS365 SharePoint DMS (Document Management System).

2) Please provide email system used and name of archive system that retains emails received and the retention period. Do you have a cloud system, if so please may you provide details.

Both the email system (Outlook) and the archive system (Mimecast) are Cloud systems.

3) Please provide the names of all software programs (i.e. Kofax, power bi etc) used by your Local Authority and for what purpose / service area.

The formal training given to staff is provided via eLearning and forms part of wider GDPR training that is only accessible via a log in. FOI requests are processed and managed by a central team, most training is on the job training

In terms of internal complaints management guidance and training resources we have no documentation on this to share, however members of the complaints team work to the processes outlined on the Council Website at the following link:
